Detailed user manual, functional setup guidelines, and POS operational troubleshooting
Store Setup & Profile Configurations
The application runs on a strict multi-tenant structure. This means every business owns its private data partition. One merchant can never access or view another merchant's stock, invoices, vendor details, or financial accounts.
Secure Sign Up requires your Name, Email, password (meeting uppercase, lowercase, special characters, and number strength validation), and Company Name. You can also sign up securely via Google OAuth login credentials.
Your store information displays directly on all printed receipts and online invoices. To configure your settings, go to Account Settings in the sidebar:
- 1 Store Details: Update your Business Name, Contact Phone Number, and physical Address.
- 2 Company Logo: Upload your store logo (recommended PNG format). It displays at the header of invoices.
- 3 Receipt Customizations: Add custom footer notes, set token expiry days (for securing customer invoice links), and configure custom registry labels (like Tax Registration Numbers).
Manage how tax values are calculated in the checkout flow. In the settings panel, you can set a global store-wide default tax rate percentage. For customized items, you can define product-level tax overrides that take precedence over the global settings.
The tax slabs are applied automatically during invoice calculations and are cataloged separately for reporting audits.
Customize your currency symbol (e.g. $, €, £, Rs, AED) and currency code (USD, EUR, PKR, AED) under the settings block. Additionally, you can configure decimal precision settings (defining rounding rules to display 0, 2, 3, or 4 decimal places). The system formats all unit prices, discounts, taxes, and totals according to these rules.
Setup templates to automatically message customers invoices via WhatsApp. The text editor allows you to write custom messages using placeholders:
-
1
{customer_name}- Replaced dynamically by the customer's full name. -
2
{invoice_number}- Replaced by the recorded invoice receipt number. -
3
{payable_amount}- Inserts the final grand total amount. -
4
{invoice_link}- Generates a secure, shareable web link to view and print the invoice online.
For direct printing to receipt hardware without print dialogue boxes, go to Printer Setup. The integration uses the QZ Tray client-side print daemon:
- 1 QZ Certificate & Private Key: Upload your generated QZ certificates and corresponding private keys to establish a trusted secure connection.
- 2 Printer Mappings: Specify default target receipt printers (raw mode, ESC/POS compatible) and define print size layouts (80mm vs 58mm).
POS Terminal Operations
The POS page is designed for high-speed transaction entry. Items can be added to the active cart in three ways:
- 1 Barcode Scanner: Focus the cursor inside the search bar and scan any item barcode. It adds to the cart instantly and sounds a scanning chime.
- 2 Smart Dropdown Search: Type product name or SKU in the search input and hit Enter or click the product row.
- 3 Stock Catalog Grid: Click on any product tile inside the side-catalog panel.
You can increment/decrement product quantities directly inside the cart table, override individual item prices, add custom item discounts, or apply general cart-wide percentage or flat discounts.
If a customer is confused or steps away, you can put their draft invoice on hold to serve other customers. Click the Hold Bill button at the top-right of the POS cart page, enter a short note (e.g. customer name or token number), and save.
To restore a held bill, click the amber pill showing its label. If you already have items in your active cart, the system will open a dialog prompting you to either hold the active cart first, discard it, or cancel the swap.
Configure printed receipts to match your branding. Under Settings, select receipt print layouts: standard A4 format (for corporate billing) or compact 80mm/58mm thermal rolls. You can define custom receipt headers (e.g. VAT numbers, shop terms) and footer notes (e.g. "No refund, only exchange within 7 days").
Stock & Inventory Control
Navigate to the Inventory page to add products. Each product requires a Name, SKU/Barcode, Purchase Price, Retail Selling Price, and current physical Stock Quantity. You can also specify default item-specific tax percentages.
The system supports automatic B2B wholesaling thresholds. When adding or editing a product, you can enable wholesaling and configure:
- 1 Wholesale Price: The bulk price per item.
- 2 Min. Wholesale Quantity: The minimum purchase limit required to trigger bulk rates.
In the POS cart, if an item's quantity exceeds or equals the configured threshold, the unit price instantly drops to the configured wholesale price automatically.
Every stock addition or manual inventory adjustment triggers a history log. Under the inventory item options, you can view logs showing who adjusted the stock, when, what the old quantity was, and the updated value. This is crucial for auditing inventory changes.
Before recording a sale, you can generate pro-forma estimates. Go to Quotes to create estimations. Quotations contain item list, pricing, discounts, delivery charges, and expiry dates, but they do NOT reduce active stock quantities.
To finalize, search the quote index and click Convert to Sale. The system converts it to a standard invoice, reduces inventory stocks, and records a sales log.
Invoices, Vouchers & WhatsApp Integration
The Invoices page lists all completed transactions. You can filter by Invoice Status (Fully Paid, Unpaid/Dues, Partially Paid), search by invoice number or customer name/phone, and track date ranges. To record payments for unpaid invoices, click on the invoice row to open its payment entry drawer.
Send invoices instantly to customers via WhatsApp. When completing a sale, clicking "Share on WhatsApp" opens a popup displaying your pre-formatted template. It launches WhatsApp Web, mapping the recipient's phone number and pre-populating the message text (including the secure invoice link).
To boost customer retention, you can generate coupon vouchers. Go to the invoices drawer or voucher panel, enter a unique code, flat discount value, and expiration date. Vouchers can be applied in the POS checkout screen to deduct amounts. Once applied, a voucher code is instantly flagged as used to prevent double-application.
Directory Relations: Customers & Vendors
The Customers page allows you to manage shopper accounts. For credit accounts, you can define credit limits. The page tracks total outstanding dues dynamically. Click "Statement" on a customer's record to print an itemized accounting statement of their purchase history and installment payments.
Under the Vendors tab, you can register suppliers. You can record purchase order bills (restocking materials), keep track of payments made, and monitor outstanding vendor balances. Product quantities are updated automatically when purchase bills are logged.
Finances, Overheads & Tax Audits
Track all company overheads in the Expenses section. Recording a new expense requires choosing a category (Rent, Electricity, Salaries, Internet/Phone, Marketing, Supplies, Tax/Legal, or Other), entering the payment amount, date, and optionally adding a description and a Bill Reference Number.
To generate audits or tax-deduction statements, filter the expenses list by date, search query, or category, and click the Download PDF button. The system compiles a clean statement showing the company header, active filter parameters, detailed rows, and total summary.
The Tax Reports page computes sales tax collected vs purchase tax paid during any chosen date range. It provides:
- 1 Output Tax: Total tax collected from customers on completed sales.
- 2 Input Tax: Total tax paid to vendors on logged purchases.
- 3 Net Payable: Output Tax minus Input Tax (indicates tax dues or refund values).
The main Dashboard automatically combines your sales revenue and recorded expenses to show your actual business profit. The calculation is:
